Shawnee Holiday Auto Attendant Message Configuration
The Shawnee after-hours auto attendant message for holidays is controlled via two websites:
A user at an extension will need to record a greeting (option 5 in the voicemail menu). Once the greeting is recorded, admin users can do the following to enable the message:
1. Log into the MyDigitalServices site
2. Locate the extension the message was recorded on using the pull down menu in the upper left of the website.
3. Click the Settings menu
4. Expand the Announcement Repository section by clicking the right arrow icon
5. Locate the announcement. It will generally be labelled Voice Portal [Date and Time]. Download the file and listen to it to verify
6. Rename the announcement on your computer to a meaningful name (eg. Labor_Day_2022, Christmas Message 2021, etc...)
7. Open a new browser tab or window and go to the BusinessVoice site
8. Click the Locations & Groups option under Admin Tools on the left side
9. Click on the Users link for the site
10. Locate extension 164 and click on it
11. In the user information pane, locate the "Basic Features" section. Click the "View All Features" link at the bottom
12. Expand the Announcement Repository section by clicking the right arrow icon
13. Click the Add button
14. Type in a meaningful name for the announcement so you will easily recognize it later (Thanksgiving 2023, 091421 Cleaning, etc...)
15. Click the Browse button and locate the message file you downloaded and renamed, probably in Downloads.
16. Click Open and upload the file. If it is not very long, it may not look like it has uploaded. Uploads are very quick.
17. Click Save in the Announcement window after you verify that the name and file are what you want to enable.
18. Click on the extension on the left side of the window under the "User Services" section. You should still be on extension 164.
19. In the "Voicemail" section, click the "Manage Greetings" button
20. When the Manage Greetings option opens, click on the field below the buttons in the Busy Greeting section.
21. Select the greeting you just uploaded. It will be listed by the name you gave it in step 14.
22. Repeat for the No Answer Greeting section below it.
23. Scroll to the bottom and click Save.
The automated greeting should now be set. Verify the message by calling extension 164 and letting it ring until you hear the greeting. If it is not the greeting you expect, listen to the file you uploaded in step 15. If it is not correct, repeat the procedure from step 1. If it is correct, go back to the BusinessVoice site and start at step 18 and verify the greeting was successfully saved as the No Answer and Busy greetings.
Once all things are verified working, you can log out of both websites safely.
